Secretary position – Secretary to the Ambassador (100%)

The Embassy of Mexico in Bern is looking to hire a secretary (m/f) to provide administrative and logistical support to the Embassy. This is a flexible role that involves many of the Embassy’s areas of work.
Job Description:
- Provide secretarial support: Reception duties, managing correspondence and calls.
- Manage and organize agenda, contacts and coordinate internal and external appointments.
- Answer telephone calls and simple queries in the Ambassador’s office.
- Management of Embassy files.
- Assist with the set-up and organization of events, meetings, in-house dinners or lunches, high level visits, among others, including meeting room set up and coordination of guests.
- Organize contact databases, merge invitations, print labels and envelopes.
- Draft correspondence (German/Spanish/English)
- Conduct other administrative tasks as required by the embassy.
- Other duties as may be required.
- Basic translation of documents (German/Spanish/English)
Requirements for candidates:
- Experience in administrative tasks at executive level.
- Bachelor’s degree in a relevant field.
- Fluent in written and spoken German, Spanish and English.
- English/French are important assets.
- Knowledge of international affairs and experience of working in an international environment.
- Good understanding of the Swiss government system is desirableAdaptability and flexibly to work in a small sized office environment.
- Advanced communication skills.
- Experience in the usage of computers and office software packages (excel, Microsoft office, outlook).
- Flexibility to support official events, visits, or meeting eventually.
- Discretion, reliability, and flexibility.
- Legal entitlement to live and work in Switzerland prior to recruitment (B or C permit).
Terms:
Full time position on an initial one-year contract. A probationary period of 3 months will apply.
